Document Control Manager


In the role of Document Control Manager you will assist in maintaining the part master and bill of materials,  archiving and storage of all technical documents, make contributions to the creation and updating of processes and policies relating to documentation, and managing of the company’s Engineering Change Orders activity. In this position, the successful candidate will maintain engineering drawings, revision control, and handle distribution of engineering drawings, bills of material and other supporting documents.  The position requires a good understanding of bill of materials structure, data entry in an MRP environment, and the ability to comprehend the product structure.

Primary responsibilities include

  • ECO Process
    • Track and release Engineering Change Orders (ECO’s) from inception to release
    • Process change requests for existing BOMs. Enter Bills of Material into the MRP System
    • Work closely with Engineering and Manufacturing Engineering team to resolve BOM issues.
    • Confirm Initial release BOMs are correct and complete based on internal requirements.
    • Process Engineering Change Orders (electrical, mechanical and software)
    • Enter Item Masters
    • Maintain log of engineering document releases and revisions
    • Own and enforce the ECO Process
  • Document Control
    • Maintain the released documents folder(s)
    • Maintain Compliance Records and Certifications for CE
    • Maintain all documented processes for the Company
    • Maintain Technical Construction Files
    • Maintain all Technical Publications of the Company
    • Define and administrate document and drawing templates
    • Filing documents for archival purposes
    • Own and enforce the Documentation Process
  • Supervisory – Supervise others in the execution of these roles

Detailed Tasks

  • Responsible for understanding the flow and transactions of all parts and Bill of Material (BOM) processing.
  • Setup part numbers for (electrical, mechanical, software), subassemblies and finished goods.
  • Be able to build and release BOMs for all variants of a product family
  • Attend engineering team meetings to understand product, releases and upcoming changes
  • Interface with cross functional disciplines including Engineering (Electrical, Mechanical, Software and Systems), Program Management, Accounting, and Manufacturing.
  • Understands and communicates factory BOM and documentation requirements for builds.
  • Implements Product Structure and maintenance of Bill of Materials (BOMs).
  • Maintenance of existing component data including Item Master, ECO history file, approved Vendor list and revisions levels of part numbers
  • Maintain the Engineering Change Order tracking, and the Part number Access Data Base Coordination of all processes and actions required for their maintenance and completion.
  • Make clerical changes to Solidworks, Draftsight, and Autocad drawings.  Correct broken links in Solidworks aseemblies.
  • Review drawings, BOMs, to verify completeness and accuracy of information and consistent style.
  • Ensure all documents are properly located in the PDM vault. Manage archives and obsolescence of documents.
  • Prepare / finalize ECO’s for approval including pre-distribution of review packages and follow up of open issues / approvals.
  • Publish metrics on owned processes
  • Create and file .pdf files when needed.
  • Review supplier documents for accuracy on Engineering change orders and when writing ECOs.
  • Assists with the handling of records and documentation, including the preparation of internal and/or external distribution, on/off site archiving, indexing, cross referencing and destruction.
  • Use of scanners to convert paper documents into an electronic format
  • Able to identify differences between document types and accurately assign appropriate retention codes.
  • Provide excellent internal and external customer service through written communication, phone assistance and/or in person
  • Flexibility and cooperation regarding the filling-in for coworkers and assistance with heavy workloads.
  • Where required, attend or facilitate meetings; including scheduling in Microsoft Outlook
  • Overtime as required 

Education / Experience

  • Associates Degree in Business Management or similar
  • 6 or more years experience in the Documentation field
  • 3 or more years experience with Part Master Maintenance and BOM’s on MRP System
  • 3 or more years working with ECO in mechanical/electrical environment
  • 3 or more years experience working with MS Office, MS Access, and standard office equipment
  • Familiarity with Solidworks, Draftsight, Autocad, and the use and control of PDM

Skills/Technical Requirements

  • Strong organizational skills – able to handle a variety of complex tasks.
  • Strong interpersonal, communication and problem solving skills are required as well as demonstrated ability to work effectively with cross-functional teams.
  • EPICOR experience is preferred
  • Experience working in and leading a document control group
  • Excellent oral and written communication skills
  • Ability to work independently within a team environment and have good follow-through
  • Maintain document and data storage, maintain logs, and issue controlled documents to Engineering/Manufacturing operations.
  • Ensure the proper storage of controlled documentation (archives, back-ups).
  • Able to understand various documents, their application, and associated revision records.
  • Ability to comprehend physical item hierarchy and its related documentation
  • Able to convey needed corrective action and resolution in a positive manner
  • Must be a self-starter with a strong focus on quality, attention to detail, and results.
  • A fundamental, working knowledge of document/data control concepts is required including the application of current industry processes.
  • Perform other related duties and responsibilities as assigned.
